How email automation works

Users create rules right from Outlook.
Emails are saved and categorized automatically: matching emails go to the right place in Microsoft 365, marked with a category so everyone on the email can see they’re saved.
Metadata is captured automatically: email headers become SharePoint columns on every save.
The Automation Dashboard shows what was done: what each rule saved, and whether anything needs attention.

Save one email in a conversation, then tell harmon.ie to keep that conversation in the same SharePoint location. Every future reply is captured there automatically.

harmon.ie learns your behavior. When it notices you repeatedly save emails from the same sender the same location, it offers to turn that into an automatic rule.

harmon.ie Automation — FAQ

Do I need the harmon.ie Desktop app to run automation?

The desktop app is highly recommended, as it runs automation in the background for more consistent capture.

With the New harmon.ie add-in, you currently need to click “Run now” to save your emails to Microsoft 365 according to your rules.

Does email automation work in Classic Outlook, or only New Outlook?

Both. Automation is available in New harmon.ie on Outlook for Windows (new and classic), Mac, and the web, with SharePoint Online.

Does harmon.ie automation save older emails, or only new ones?

When you set a rule, harmon.ie starts saving new emails as they arrive in your inbox. Emails that were already in your inbox can still be saved manually.

What happens to attachments?

Attachments are saved embedded in the email.

Do rules run on their own, or do I click "Run now"?

In this first phase of the beta, you start a rule with Run now and harmon.ie captures the matching emails. Hands-off automatic running, where rules fire on their own as email arrives, is coming in the next phase.

How do I know if an email was saved using automation?

harmon.ie adds an Outlook category to saved emails that shows whether the email was saved, or whether there was an error when trying to save it automatically. This requires admin consent and a user setting to enable categories, found under Advanced > Apply categories to saved emails.

Who can see that an email was saved?

Only colleagues who received the same email, and only when they’re inside your organization and have access to the location it was saved to. If it went somewhere they can’t reach, for example your OneDrive, they won’t see it. The saved status is never visible to anyone outside your organization, not that it was saved, and not where.

Can one email save to more than one location?

Yes. You can set two or more rules to save the same email into different locations.

How does automatic metadata tagging work?

When automation saves an email, harmon.ie reads the email headers — To, From, Subject, Date, and whether it has attachments — and writes them into SharePoint metadata columns.

For conversation saving rules where the destination requires metadata that only a person can provide, harmon.ie does not interrupt you on every email. The first time you save an email to that location, you are prompted to fill in the required fields. The rest of that conversation then reuses the values you supplied, so following replies are captured automatically without prompting you again.

Does automation read my email content?

No. harmon.ie automation does not read your email content.

Is automation available during a free trial?

Yes. Automation is available to trial users as well as licensed customers.

Is there an extra cost for the automation features?

No. Email automation is included in every New harmon.ie license, at no additional cost.

How do admins set up automation for specific users or the whole organization?

An admin can turn on email automation for a select group of beta users or roll it out to everyone in the organization. See Set Up the New harmon.ie Email Automation Beta for step-by-step instructions.
